  • Audio-video recordings of online notarizations for at least 10 years
  • Electronic and written journals of notarial acts, including identification information, for at least 10 years
  • All retention is performed using secure, encrypted platforms and cloud storage that meets state requirements

We may disclose your information only in the following cases:

  • To third-party providers (e.g., secure video platforms, identity verification services, or payment processors) who are contractually obligated to protect your information
     
  • To authorized entities under Florida law, such as:
    • The Florida Department of State
    • A court of competent jurisdiction
    • Individuals or entities legally entitled to inspect notarial records (F.S. § 117.245 and § 117.255) 
    • As required by subpoena, court order, or law enforcement

6. Data Security

We use technical, physical, and administrative safeguards to protect your information, including:


  • To help safeguard user data and enhance privacy, we utilize a Virtual Private Network (VPN) as part of our security infrastructure. This VPN helps encrypt data transmitted between users and our servers, providing an additional layer of protection against unauthorized access and surveillance. By using our services, you acknowledge and agree that we may route certain data through VPN servers for security purposes.
  • Secure, compliant RON platforms
  • Encrypted video and audio storage
  • Access restrictions and multi-factor authentication
  • Routine security audits and updates


7. Data Breach Notification

In the event of a data breach involving personal information, we will notify affected individuals and comply with Florida’s Data Breach Notification Law (F.S. § 501.171). Notification will occur without unreasonable delay and may include communication to the Florida Department of Legal Affairs, if required.

As a Florida resident, you have the right to:

  • Request copies of your notarized documents (if authorized by law)
  • Request correction of incorrect information
